7 Best Patient Recall & Reactivation Software for Clinics (2027)
The 7 best patient recall and reactivation software for clinics in 2027, compared on recall triggers, channels, verified pricing models and BAA status.
By ClinikEHR Team
Duration
14 MINSPatient recall software finds the patients who are due or overdue for care and contacts them until they book. The tools differ in three ways that matter: how they decide who is due (a recall date in your practice management system, or a segment you define), which channels they use (email, text, phone, post), and how they price (a published monthly fee, or a quote). This guide compares seven options on those points, with every claim checked on the vendor's own site in September 2026.
ClinikEHR makes ClinikReach. Here's how we judged every option, including ours. Our pick for clinics that want recall inside their record system is ClinikReach:
- Live segments of lapsed patients, such as everyone not seen in 18 months, that stay current.
- Measured in booked appointments, not just opens.
- HIPAA-compliant, covered by our BAA (Business Associate Agreement).
- Free to start: 500 marketing emails a month and unlimited contacts, no card needed.
Quick Answer
If your practice runs on ClinikEHR, ClinikReach is the most direct way to run recall: build a live segment of patients who are due or lapsed, send an email campaign under the health-care operations class, and see how many booked. It's email only, and it recalls by segment rather than reading a recall date, so you re-send the campaign each month. If you're a dental or optometry practice on another practice management system and want automated, multi-channel recall driven by due dates, look at NexHealth, Weave, RevenueWell or Lighthouse 360. Solutionreach and Demandforce cover a wider mix of specialties. Only Weave publishes a starting price ($199 a month); the rest quote.
Turn lapsed patients into booked appointments
Note: This post compares the software. For the wording, use our patient recall email templates. For a step-by-step win-back plan, see how to win back lapsed patients. Reminders for booked visits are a different job, covered in the best appointment reminder apps.
Recall, Reactivation and Reminders: Three Different Jobs
It helps to separate the terms before comparing tools, because vendors use them loosely:
- Recall contacts patients who are due for routine care, such as a six-month hygiene visit, an annual eye exam or a yearly check-up.
- Reactivation reaches patients who have lapsed well past that point, say 12 or 18 months with no visit and nothing booked.
- Reminders go to patients who already have an appointment, to cut no-shows.
A recall tool earns its keep on the first two. Dental-focused tools tend to read a recall or continuing-care date from your practice management system and message patients automatically. Segment-based tools, including ClinikReach, let you define "due" or "lapsed" yourself from patient fields, then send a campaign to whoever currently matches.
How We Evaluated
We compared each tool on five criteria:
- How it finds due patients. Reading recall dates from a practice management system, or a segment you build.
- Channels. Email, text, phone calls and printed mail each reach a different slice of your list.
- Measurement. Does it report bookings, or only sends and opens?
- Pricing model. A published price, a quote, and the contract terms the vendor states.
- HIPAA posture. Whether the vendor publishes a BAA or states on its site that it acts as your business associate. Recall messages come from your records, so HHS's business associate guidance applies.
We only included vendors whose recall feature and pricing model we could confirm on their own pages.

1. ClinikReach: Our Pick for ClinikEHR Clinics
Best for: clinics of any specialty that want recall and reactivation run from the same system as the chart.
ClinikReach builds segments from any contact or patient field, with a live count that updates as you edit, and the segment stays live, so next month's send picks up whoever has newly become due. You send recalls under the patients, health-care operations class, which ClinikEHR records on the campaign; HHS's marketing guidance treats communications about your own services and treatment reminders as outside "marketing". Unsubscribes and do-not-contact flags are checked again as each email sends, and a default cap of two marketing emails in seven days keeps a recall from piling on top of a newsletter.
The report leads with how many recipients booked. ClinikEHR counts an appointment booked by a contact who clicked a link in that campaign within 30 days of the click, credits each booking to one campaign only, and updates overnight. It only counts contacts linked to a patient record, so treat it as a floor, not proof the email caused the booking.
Limitations: it's email only, with no text or postcard recall. It doesn't read a recall due date and fire on its own: automated journeys currently start only when a new contact is added, so recall is a campaign you send to a live segment, typically once a month. Campaigns need a sending domain your practice owns.
Price: included in every plan. Free: 500 sends a month. Essential ($99.90/mo): 12,000 sends, A/B testing and full attribution. Team ($250/mo): 60,000 sends. Contacts are unlimited on every plan.
2. Weave
Best for: practices that want recall alongside a phone system, texting and reviews from one vendor.
Weave's pricing page says plans start "from $199 per month" and its plan comparison lists Recall, an Overdue Patients List, Email Marketing and bulk texting allotments of 15,000, 3,000 or 1,500 messages a month depending on plan (getweave.com/pricing, checked September 2026). Weave publishes its Business Associate Addendum at getweave.com/legal/baa.
Limitations: the page doesn't say in text which of its three plans (Pro, Elite, Ultimate) includes Recall, so confirm before you buy. The value is in the bundle; if you only need recall, you're paying for phones too.
3. NexHealth
Best for: dental practices that want recall messages with bookable time slots built in.
NexHealth's One-Click Recalls let you "customize messages by appointment type, due date, outstanding treatments, and more", and it "reads due dates and procedure codes from your health record system to trigger the right recalls automatically" (nexhealth.com, checked September 2026). Messages can include booking links with open slots, by email or text.
Pricing: "Custom plans available. Contact us to discuss your needs." NexHealth offers month-to-month or yearly billing (the year paid up front), says there are no cancellation fees, and asks annual customers for 90 days' notice not to renew (nexhealth.com/pricing). Its pricing page lists HIPAA compliance and security among what every package includes; we didn't find a published BAA, so ask for one.
4. RevenueWell
Best for: dental practices that want recall across email, text and printed mail.
RevenueWell's plan comparison lists Reminders and Recalls, Reactivation, Direct Mail, CDT Procedural Targeting and Treatment Plan Follow Ups, with text limits of 750, 1,750 or 3,250 depending on plan (revenuewell.com/plans, checked September 2026). Its HIPAA page says "RevenueWell acts as your Business Associate, and your office is the Covered Entity" (revenuewell.com/hipaa-compliance).
Pricing: the plans page lists three tiers without prices; you schedule a demo or call sales for a quote. It's built for dentistry, so other specialties will find less fit.
5. Lighthouse 360
Best for: dental practices that want recall fully automated from their practice management system.
Lighthouse 360, a Henry Schein One brand, says it will "automatically confirm appointments & send recall reminders", reach patients "via email, text, phone and mail", and "sync with your PMS every 10 minutes" (lh360.com, checked September 2026).
Pricing: no price is published; you request a demo. The page says you can "get started today with no annual commitment." We didn't find BAA wording on the pages we checked, so ask for it in writing.
6. Solutionreach
Best for: larger or multi-location groups that want recall as part of a broader patient engagement suite.
Solutionreach lists Recall ("automatically reactivate patients and fill your schedule") alongside batch messaging and newsletters, with monthly SMS allowances of 1,750, 3,500 or 4,500 across its three main packages (solutionreach.com/pricing, checked September 2026). Its HIPAA page says "you are a covered entity and Solutionreach is your business associate" (solutionreach.com).
Pricing: every package is "Request a Quote", with an Enterprise option for six or more locations, and the FAQ says "We offer yearly contract options." Confirm which package includes Recall.
7. Demandforce
Best for: small practices across specialties, from chiropractic and dermatology to vision care.
Demandforce lists "reactivating lost patients" among what its platform does and says it's "HIPAA Compliant" (demandforce.com, checked September 2026). Its HIPAA policy says "we comply with all business associate obligations under HIPAA/HITECH" (demandforce.com/hipaa-policy).
Pricing: no price is published; you fill in a form to speak with an expert. Its product pages lead with reminders, reviews and phones, so check how much recall control you get.
Setting Up a Recall Program in Any Tool
- Define "due" and "lapsed" for your specialty. Six months for hygiene, twelve for an annual exam, eighteen for reactivation.
- Exclude anyone with a future booking so you don't recall people who are already coming.
- Choose channels. Email is cheapest; text reaches people faster; post reaches patients without a current email.
- Write one reason to come back and one booking link. Keep diagnoses out of subject lines.
- Send one follow-up, then stop. Two messages is a recall; five is a complaint.
- Measure bookings, not opens, and compare against the same month last year.

Frequently Asked Questions (FAQs)
1. What is patient recall software?
It finds patients who are due or overdue for routine care and contacts them, by email, text, phone or post, until they book. Some tools read recall dates from your practice management system; others send to segments you define.
2. What's the difference between recall and reactivation?
Recall contacts patients when routine care is due. Reactivation reaches patients who have lapsed well beyond that, often 12 to 18 months with no visit and nothing booked.
3. How much does patient recall software cost?
Weave publishes a starting price of $199 a month. NexHealth, RevenueWell, Lighthouse 360, Solutionreach and Demandforce quote. ClinikReach is included in every ClinikEHR plan, from Free (500 sends a month).
4. Do recall emails need patient consent under HIPAA?
HHS says communications about your own health services and treatment reminders aren't marketing, so they don't need a signed authorization. You still need a vendor covered by a BAA and an opt-out. This isn't legal advice.
5. Can ClinikReach send recalls automatically?
Not from a due date. Journeys currently start only when a new contact is added, so recall in ClinikReach is a campaign sent to a live segment, which you can re-send each month to whoever has newly become due.
6. How do I measure whether recall is working?
Count booked appointments from recipients, not opens. ClinikReach reports bookings made within 30 days of a click, which is a conservative floor rather than proof of cause.
Conclusion
Pick recall software by how it decides who is due and whether it reports bookings. Dental practices on a supported practice management system get the most automation from NexHealth, Weave, RevenueWell or Lighthouse 360, usually on a quote. Clinics that want recall inside their EHR, across any specialty, can run it from ClinikReach with live segments and booked-appointment reporting, starting free.
